1. Purpose

This Standard Operating Procedure (SOP) outlines the correct methods for handling raw material pallets and bulk storage containers to prevent contamination, ensure safety, and maintain the integrity of materials in compliance with Good Manufacturing Practices (GMP).

2. Scope

This SOP applies to all warehouse personnel, logistics staff, and quality assurance (QA) teams involved in the receipt, handling, transportation, and storage of raw material pallets and bulk containers such as drums, totes, and carboys.

3. Responsibilities

  • Warehouse Personnel: Ensure proper handling, loading, and unloading of pallets and containers according to SOP guidelines.
  • Logistics Team: Coordinate safe transportation of bulk materials within the facility.
  • Quality Assurance (QA): Monitor compliance with handling procedures and perform inspections.

4. Accountability

The Warehouse Manager is accountable for the correct implementation of pallet and container handling procedures. The QA Manager is responsible for ensuring compliance with GMP standards.

5. Procedure

5.1 Receipt and Initial Inspection

  1. Verification at Receipt:
    • Inspect all incoming pallets and containers for visible damage, contamination, or signs of tampering.
    • Document inspection findings in the Pallet and Container Receiving Log (Annexure-1).
  2. Label Check:
    • Ensure all pallets and containers are correctly labeled with material name, batch number, and expiration date.
    • Any discrepancies must be recorded and reported to the QA department immediately.

5.2 Handling Procedures

  1. Use of Material Handling Equipment:
    • Utilize forklifts or pallet jacks for moving heavy pallets and containers.
    • Ensure equipment is inspected before use and operated by trained personnel.
    • Record equipment use in the Material Handling Equipment Log (Annexure-2).
  2. Safe Handling Practices:
    • Do not stack pallets beyond recommended heights to prevent tipping.
    • Ensure stability of bulk containers during transport to avoid spills or accidents.
    • Document any handling issues in the Handling Incident Log (Annexure-3).

5.3 Storage of Pallets and Containers

  1. Designated Storage Areas:
    • Store pallets and containers in designated areas, ensuring segregation of approved, quarantined, and rejected materials.
    • Maintain appropriate environmental conditions (temperature, humidity) as per material requirements.
    • Document storage details in the Pallet and Container Storage Log (Annexure-4).
  2. FIFO/FEFO Compliance:
    • Follow First-In-First-Out (FIFO) or First-Expired-First-Out (FEFO) principles during storage and retrieval.
    • Perform regular audits to ensure compliance and document findings in the FIFO/FEFO Compliance Log (Annexure-5).

5.4 Cleaning and Maintenance

  1. Cleaning Procedures:
    • Clean pallets and containers before reuse to prevent cross-contamination.
    • Use approved cleaning agents and methods specified in the cleaning protocols.
    • Document cleaning activities in the Pallet and Container Cleaning Log (Annexure-6).
  2. Inspection of Containers:
    • Inspect containers for wear and tear, and replace damaged units immediately.
    • Record inspection results in the Container Inspection Log (Annexure-7).

5.5 Training and Compliance

  1. Training Programs:
    • Provide annual training to warehouse personnel on safe handling, storage, and transport of pallets and bulk containers.
    • Maintain training records in the Handling and Storage Training Log (Annexure-8).
  2. Compliance Monitoring:
    • Conduct quarterly audits to ensure adherence to handling procedures.
    • Document audit findings in the Handling Procedure Compliance Log (Annexure-9).
