1. Purpose

The purpose of this Standard Operating Procedure (SOP) is to establish a structured process for preparing and maintaining equipment maintenance schedules in aerosol manufacturing. This ensures the reliability, efficiency, and regulatory compliance of all equipment.

2. Scope

This SOP applies to all aerosol manufacturing equipment, including filling machines, crimping machines, propellant storage systems, and quality control instruments.

3. Responsibilities

  • Maintenance Team: Responsible for scheduling, executing, and documenting maintenance activities.
  • Production Team: Responsible for notifying the maintenance team about equipment issues.
  • Quality Assurance (QA) Team: Responsible for verifying that maintenance activities comply with GMP requirements.
  • Engineering Team: Responsible for updating maintenance schedules based on equipment performance data.

4. Accountability

The Engineering Manager is accountable for ensuring that all maintenance activities are planned, scheduled, and completed on time.

5. Procedure

5.1. Identifying Equipment for Maintenance Scheduling

  1. List all equipment that requires maintenance, including:
    • Aerosol filling machines
    • Crimping machines
    • Propellant handling systems
    • Storage tanks and pipelines
    • HVAC and environmental control systems
  2. Ensure each piece of equipment has a unique Equipment ID recorded in the Equipment Maintenance Log (Annexure-1).

5.2. Categorizing Maintenance Types

  1. Define maintenance activities as:
    • Routine Maintenance: Performed daily, weekly, or monthly.
    • Preventive Maintenance: Conducted at scheduled intervals to prevent breakdowns.
    • Corrective
Maintenance: Carried out after an equipment failure.
  • Predictive Maintenance: Based on equipment condition monitoring.
  • Assign maintenance categories to each equipment in the Maintenance Schedule Log (Annexure-2).
  • 5.3. Preparing Maintenance Schedules

    1. Use historical performance data and manufacturer recommendations to define maintenance intervals.
    2. Create a structured maintenance plan that includes:
      • Task descriptions
      • Frequency
      • Assigned personnel
      • Completion deadlines
    3. All schedules should be recorded in the Equipment Maintenance Plan (Annexure-3).

    5.4. Maintenance Execution and Documentation

    1. Ensure maintenance personnel follow SOPs for each maintenance task.
    2. After completing a task, record the details in the Maintenance Activity Log (Annexure-4).
    3. QA must verify and sign off on all completed maintenance activities.

    5.5. Reviewing and Updating Maintenance Schedules

    1. Review maintenance records monthly to assess effectiveness.
    2. Identify recurring equipment failures and adjust schedules accordingly.
    3. Record all schedule updates in the Maintenance Review Log (Annexure-5).
